Minutes to the Organizing Committee Meeting for CSECS14 on 6.7.2014 in Albena

Participants: Lou, Vijay, Petja, Rumen, Irena, Christoph, Christian

Agenda:

1. Analysis of the CSECS14

+ Overall very successful conference. Thanks to the organizer Petja Asenova and to Vijay Kanabar as remote sessions chairman.

+ Best paper award: Trifon Trifonov receives the Best Paper Award for young scientist.

- The remote presenters should provide a picture. Solution: the procedure is used at BU, and will be implemented in CSECS15.

- An email-list of the participants should be provided before the conference sessions in order to allow cooperation contacts. Solution: will be implemented in CSECS15.

- Collaboration between the three universities should be organized between the conferences. Solution:  The panel discussion on 7.7.14 will focus on at least three collaboration subjects: each university should be leading in one subject. Joint papers should be presented in CSECS15.

- The remote sessions wasted too much time in instructing the presenters how to use AdobeConnect and to upload the papers. Solution: A coordination meeting and tutorial with all presenters in the sessions of the day should be organized by the session chairman in the morning, before the conference day starts. This meeting will be used to upload all papers also.

- The discussions were not sufficient. Solution: We should provide at least 10 minutes for discussions, and send the interesting papers to prospective scientists working in this area prior the conference starts.

2.  Proceedings CSECS14: The tutor Ivan Christov ivanv.christov@gmail.com will put together and edit the proceedings by the end of September. Gathering the final papers should end by September 15th and should be supported by the local coordinators: Vijay (USA), Petja (Bulgaria) and Rumen (Germany). The hardcopy for the libraries will be printed at NBU.

3. The next conference CSECS15 will be held in Boston from 4.6. to 7.6.2015. Lou should enquire the possibilities to host the Bulgarians in the houses of Vijay, Lou, Anatoly, and Vladi. Vijay should make reservations for hosting the Germans and the rest of the Bulgarians at BU Residence.

4. Financial issues. We expect the financial status to be approximately 2000 US $ held by Lou and 2300 € held by Rumen. Vijay and Rumen will send the financial reports for CSECS12  and CSECS14  respectively by the end of next week.
